Overview
FastField can automatically deliver completed reports to specified email recipients. This comes in handy when you need to promptly share reports with stakeholders as soon as a form is submitted.
There are multiple ways you can utilize automated email delivery in FastField:
- Multiple Recipients: Send copies of the completed form to multiple recipients upon submission. For instance, you can send the report to the client, form submitter, and supervisor simultaneously, ensuring that all relevant parties receive the necessary information instantly.
- Customized Email Distribution: Customize where and how your reports get distributed. You can define different sets of recipients for different forms or establish dynamic recipient lists based on form responses or other conditions. This flexibility ensures that reports reach the right people every time.
Email Automation for Individual Forms
Use the following setup to configure the email delivery actions for one specific form:
- In the Form Builder select the blue Delivery button.
- Drag and drop the Actions from the left column into the Form Submit Actions box. Common options include:
- Email Submitter: Email the user that submitted the form.
- Email From Field: Email from a field in the form.
- Email External: Email to a set email address.
- In the right column, configure your report alerts, format, destination, and email subject/body.
Email Automation Through Global Workflow
To automate email delivery through multiple form submissions simultaneously, you can create a Global Workflow. Global Workflow lets you apply automated actions globally throughout your workflow (i.e., across multiple forms). To set this up:
- In the Portal, go to Workflow > Global Workflow from the left navigation menu.
- Select + New Workflow on the Global Workflow page.
- Name your workflow.
- Under When the following form is submitted, choose the form you'd like to apply the email delivery action(s) to.Select Any to apply the delivery action(s) to all of your forms.
- Under Perform these Actions, choose the email delivery action you'd like to assign (e.g., Email Users).Optional: Select Add Conditions to set custom conditions for the workflow to trigger.Select the - or + buttons to remove or add actions.
- After choosing each desired delivery action, follow the prompts to configure the name of the action, destination, email subject/body, and format of the report.
