Any Admin (or Team Editor) in your account can assign roles to grant or restrict a user's access to areas of the Portal. FastField has 11 user roles, and you can assign a user multiple roles — or none at all.
Use the table below to find the right role, then see How to assign a role.
Role summary
| Role | What they can do |
|---|---|
| Workflow Editor | Create and edit workflow actions and integrations for their assigned forms (without being an admin). |
| Team Editor | Add, remove, and edit other users — but not admins. |
| Builder | Build forms in the Form Builder and manage list data. |
| Collector | Fill out and submit forms from the FastField mobile and web apps. |
| Analyst | View, edit, and download submissions, and build Dashboard analytics. |
| Dispatcher | Dispatch forms to users and manage active, pending, and completed dispatches. |
| Viewer | View and build Dashboards. |
| List Editor | Create and edit Global Lists and Lookup Lists. |
| Librarian | Manage Libraries and control which forms each user can see. |
| Admin | Full administrative access to the Portal and account settings. |
| Tracking | Access asset tracking features. |
Role details
Workflow Editor
Lets non-admin users create workflow actions for any forms assigned to them through Libraries, and edit existing workflow actions. Workflow Editors can also create new integrations and edit existing ones.
Team Editor
Lets non-admin users manage other users on the account — adding and deleting users and editing user roles.
Important: Team Editors cannot create, edit, or remove the Admin role. This keeps admin privileges secure while still letting Team Editors manage their teams.
Builder
Builders can access the Form Builder to create forms, along with the Forms page in the Portal. They can also update, download, and delete list data.
Collector
Collectors can fill out and submit forms from the FastField mobile and web apps. They can access forms assigned to them through Libraries or complete forms individually dispatched to them.
Info: The Collector role isn't currently required for a user to fill out and submit forms in the FastField app.
Analyst
Analysts can view, download, and edit submissions on the Submissions page. In Dashboards, they can build custom analytics views by adding cards based on collected data.
Dispatcher
Dispatchers can dispatch forms to one or more users and manage active, pending, and completed dispatches from the Dispatch page. They can also recall and reassign active dispatches.
Viewer
Viewers can view and build Dashboards — assembling cards into custom data views, or accessing other users' Dashboards through Dashboard sharing.
List Editor
List Editors can create and edit Global Lists and Lookup Lists from the Lists section of the Portal — for example, customer lists or inventory data.
Librarian
Librarians manage the Libraries section: they can create and delete libraries, assign and unassign users, and assign and unassign forms — controlling which forms each user and group can see.
Admin
Admins have full administrative rights to the Portal. They can create and edit users and adjust general account settings.
Tracking
The Tracking role lets users access asset tracking features. Learn more in Asset & Team Tracking.
