Overview
Not only can tasks be dispatched to users within your account, but they can be sent to external users, as well. This can be a great way to assign jobs to third-party contractors.
Pricing
This feature is part of the External Forms optional add-on. You will need to enable this feature at an additional cost on the Company Billing page in the Portal (Account > Company Billing > Add-ons).
This additional charge is only for submissions from the External Dispatch; submissions from users will not affect this cost.
How to Dispatch Tasks to External Users
- Make sure you have External Forms enabled for your account.
- To do this, go to Account > Company Billing > Add-ons in the Portal.
- Once you have enabled this feature, any user with the role of Admin or Dispatcher will be able to dispatch tasks to individuals who are not set up as users on your account.
- Create a task (Form Sharing > Dispatch/Tasks > + New Task).
- When you choose the Recipient Type, select Dispatch to External Party.
Receiving an External Dispatch
External task recipients will receive an email notification with an authenticated link to complete the form from the Web App. By default, only the Web App link will be sent in the email. To include a link to the iOS and/or Android mobileapps (which will only work if installed on the recipient's device):
- Go to Account > Company Settings in the Portal.
- Go to the Email Settings tab.
- Scroll down to the 3rd Party / Anonymous Dispatch Email section.
- Use the toggles to choose which links you want to include.
The link that is sent through email is only good for a single submission. The recipient will not be able to submit the task multiple times using the same link.
