Overview
Users can assign tasks for specific fields on a form. When enabled, the form user will see a Task button on that form field for them to access. This task button can also be hidden or shown based on conditional rules (set up in the Form Builder).
For example, if a worker is filling out an inspection form and selects Needs Repair on a particular form field, a Task button could automatically appear, allowing the worker to create a task and assign it to the maintenance team.
Form field tasks are helpful when you want to create tasks that are tailored to specific items in your form (rather than using a Default Mobile Task Form for everything). A single inspection form, for instance, can cover a wide range of assets and components. With mobile tasks for specific form fields, you can attach more relevant task forms to desired fields.
How to Enable Form Field Tasks
- In the Form Builder, select the field that you would like to enable task creation for.
- Select Enable Task Creation in the General Settings menu on the right.
- This will add a Task button on the form field that a user can select to create/send a task for that field.
- This will add a Task button on the form field that a user can select to create/send a task for that field.
- Select Edit Settings to customize the task:
- Hide/Show: Hide and show the task button on the field through conditional rules (e.g., Show the Task button when the value equals fail).
- Task Form: Select the task form that the user can send out for this field.
- Task Details: You can leave the task details (Title, Description, Project, etc.) blank for the user to fill out in the app, or you can pre-fill any details yourself. You can also have them auto-populate from other fields from the main form (select Add Field).
- Select Save and Close when done.
While using this form in the app, users can now select Task on fields with enabled task creation to create and send a task.
